1. Booking Policy
To secure your reservation, advance bookings must be made at least 48 hours before the tour commences. A deposit of 50% of the total package amount is required at the time of booking to confirm your reservation. The remaining balance is due on the first day of the tour.

2.Cancellation Policy
Cancellations of any reserved tour or trekking package must be supported by a genuine reason. Clients are required to submit a formal written cancellation request to our official email address.
Upon receiving the request, our team will review the application and a processing fee may be charged depending on the circumstances. Clients who have made a full payment will receive a 100% refund, provided the cancellation is communicated at least 48 hours before the scheduled tour departure.
3. Safety and Responsibility
Trailblazers Nepal Pvt. Ltd takes full responsibility for the safety and well-being of all trekkers and visitors during trips, whether in the mountains or within the city. All guests are required to strictly follow the guidelines and instructions provided by our field guides and instructors at all times.
Our field staff are experienced, well-trained, and highly knowledgeable about weather conditions, terrain, and high-altitude environments. The safety of our guests is our top priority, and we ask that all visitors respect and adhere to the protocols set by our team throughout the journey.
4. Health and Fitness
All clients are expected to be in good physical and mental health before commencing any tour or trek with us. It is the responsibility of each client to disclose any existing health conditions, medical concerns, or physical limitations during the reservation process.
Failure to provide this information may result in the client being transferred back from the trip without eligibility for a refund. Clients are advised to carefully consider factors such as age, pregnancy, current medications, and mental health, as these can significantly impact both personal safety and the overall experience of all participants in the group.
While we are fully committed to the health and safety of every guest, our team can only make appropriate arrangements based on the information provided at the time of booking.
5. Insurance
Trailblazers Nepal Pvt. Ltd does not provide travel insurance on behalf of clients. All trekkers and travelers – particularly those exploring high-altitude mountain regions – are strongly advised to obtain comprehensive personal travel insurance prior to their trip.
Your insurance policy should cover emergency situations including but not limited to accidents, illness, death, fractures, and emergency helicopter rescue operations during trekking.
6. Changes to Itinerary
Trailblazers Nepal Pvt. Ltd reserves the right to modify the planned itinerary when necessary. Changes may occur due to delays in domestic flights at the beginning or end of the trip, or due to unpredictable weather conditions in the high mountains.
In the event of natural disruptions – such as floods, landslides, or flight delays – any additional costs incurred, including accommodation, transportation, and guide fees, will be the responsibility of the client. Trailblazers Nepal Pvt. Ltd will not be held liable for missed international flights from the client’s home country as a result of such disruptions.
In all such cases, our team will work promptly to arrange an alternative itinerary to ensure the best possible experience for our guests.
7. Code of Conduct
We kindly request all visitors and clients of Trailblazers Nepal Pvt. Ltd to respect the cultures, traditions, and customs of the local communities encountered during their travels and treks. Nepal is a country of rich and diverse cultural heritage, and local communities observe various protocols and traditions that deserve full respect.
When visiting ancient temples, monasteries, or sacred shrines, please wear clothing that appropriately covers your body. Before taking photographs or recording videos at any site, kindly consult your guide or pay attention to the symbols and notices displayed around you. Your respectful conduct not only ensures your own safety and well-being but also enriches your cultural exchange with the communities you meet, both in the mountains and in urban areas.
8. Passport and Visa Requirements
All clients are responsible for ensuring they carry valid travel documents, including a passport and the appropriate visa, for the duration of their trip to Nepal. A scanned copy of your passport details will be required in advance for permit processing, hotel reservations, transportation arrangements, and domestic flight bookings.
Trailblazers Nepal Pvt. Ltd will not be held responsible for any delays, inconveniences, or complications arising from incomplete or invalid travel documentation.
